Requirement
A local NHS trust had a set of critical email data held in a legacy, on-premise archive platform (EMC SourceOne) that was in a poor state of repair.
Key Challenges
Following a business decision to update internal systems to more up-to-date solutions, key data was identified in the SourceOne environment that needed to be efficiently and securely extracted and stored in a non-proprietary, open format for future access.
TrueSwift was engaged to assist the client in defining the in-scope data and delivering a fully managed service to perform the secure extraction from SourceOne.
The Solution
Using unique knowledge of archiving platforms and extraction techniques, TrueSwift delivered a fully managed service to identify and extract all key, in-scope data from the legacy SourceOne solution to a futureproof, open format.
The entire technical engagement was carried out remotely allowing for flexible access to the environment with minimal client interaction. Delivering on a remote basis also helped to save time and reduce project costs.
About The Engagement
Initial technical workshops helped identify the in-scope data which was defined as all items less than 2 years old. A small number of exceptions to this rule were agreed and dealt with following the main project.
The required migration environment was fully scoped and documented and was provided by the client for the duration of the project.
Initial analysis of the SourceOne platform identified critical problems that were causing significant performance issues, preventing it from working in the expected manner. TrueSwift was able to make recommendations on solutions that addressed the issue, enabling the project to proceed at speed.
Following a successful pilot phase, the remaining 6,200 SourceOne archives were extracted into an open format within a 1-to-2-week period. This equated to 17.7 million messages in total.
Throughout the engagement, weekly calls were held with the client to keep them up to date with progress and any issues. Regular reports were also generated providing detailed insight into performance and other throughput metrics.
